Retention Policy Cannot Be Edited (Grayed Out) in FileCloud
Original Question or Issue:
Unable to modify an existing retention policy in FileCloud. The retention duration (e.g., 30 days) is grayed out and cannot be edited.
Environment:
- Product - FileCloud Server
- Version - 23.253
- Platform - Windows
Steps to Reproduce:
Error or Log Message:
No explicit error message is displayed.
Observed behavior:
- Retention policy settings are grayed out
- Fields are not editable
Defect or Enhancement Number:
Cause:
Retention policies in FileCloud cannot be modified once they are created and applied.
This restriction is intentional to:
- Maintain consistency for files already governed by the policy
- Prevent unintended changes that could affect compliance or data lifecycle management
- Ensure integrity of retention enforcement
Resolution or Workaround:
To update retention settings, use one of the following approaches:
Option 1: Create a New Retention Policy (Recommended)
- Create a new policy with the desired retention duration
- Apply it to the required folders or paths
- This avoids impacting files already governed by the existing policy
Option 2: Disable and Recreate the Policy
- Disable or remove the existing retention policy
- Create a new policy with updated settings
- Reapply it as needed
Note: Disabling an existing policy may impact files currently under retention. Proceed with caution and evaluate before making changes.
Best Practice
- Plan retention policies carefully before applying them
- Use separate policies for different retention requirements
- Avoid modifying active policies to prevent unintended data impact
Notes:
Retention policy settings are grayed out because FileCloud does not allow modification of active policies. To make changes, administrators must create a new policy or recreate the existing one with updated settings.
