External User Unable to Edit Despite Folder Permissions (Share Permission Override)
Original Question or Issue:
An external user accessing a folder via a share is unable to edit (write/delete) files, even though the folder permissions have been updated to allow full access. The “Check Access” tool shows that folder permissions allow editing, but share permissions are more restrictive.
Environment:
- Product - FileCloud Server
- Version - Any
- Platform - Any
Steps to Reproduce:
Error or Log Message:
No explicit error message. Behavior observed via Effective Access / Check Access.
Defect or Enhancement Number:
Cause:
In FileCloud, share permissions take precedence over folder permissions when accessing content via a share.
Even if folder-level permissions are configured to allow full access, the share configuration can restrict actions such as upload, edit, or delete.
Additionally, if the share was created by another user:
-
It may not be visible in folder permission settings
-
It must be managed separately under user/admin share management
Resolution or Workaround:
-
Locate the Share Configuration
-
Navigate to: Admin Portal → User Shares
-
Search using:
-
Folder path, or
-
External user’s email address
-
-
-
Modify Share Permissions
-
Edit the existing share
-
Enable required permissions:
-
Read
-
Write
-
Delete (if required)
-
OR
-
-
Recreate the Share
-
Create a new share with correct permissions
-
Ensure appropriate access settings are selected during creation
-
-
Validate Access
-
Re-run Check Access
-
Confirm effective permissions reflect expected access
-
Notes:
-
Folder permission overrides do not override share restrictions
-
External users only inherit permissions defined in the share
-
The “Everyone” group or folder ACLs do not affect shared link permissions
-
If multiple shares exist, the most restrictive share may impact access
-
Shares created by other users must be managed via Admin → User Shares or by the original owner
